EXON / Document centre
Lessor: [legal company name, registration, tax ID and address]. Renter: [legal name, registration and authorized representative]. Equipment: [asset reference, make, model, capacity and serial number]. EXON’s role and the actual lessor must be identified explicitly.
Site: [address and access instructions]. Start and return dates: [dates]. Minimum rental: one week. Standard shift: 8 hours per day; agreed extensions up to 16 hours must be stated in the quote. Confirm delivery and collection windows in writing.
Attach the approved, versioned EGP quotation. Itemize rental, operator, fuel, delivery, collection, taxes, deposits and any other charges. State what is included, excluded and refundable. Do not leave the treatment of overtime or idle days implicit.
Record meter readings, fuel level, accessories, dated photographs, inspection results and any existing defects at delivery and return. Both parties confirm the handover record. A representative catalog photo is not evidence of the dispatched unit’s condition.
Identify who supplies the qualified operator, performs daily checks and routine maintenance, and provides fuel. Confirm permitted tasks, access, ground conditions and required lifting documentation before dispatch. Report faults promptly and agree the breakdown/replacement procedure.
Specify notice periods, cancellation charges, extension rates and how changes are approved. State the process for stopping hire and arranging collection, including when rental charges end. No extension is assumed from an unanswered request.
Agree responsibility for loss, damage, insurance cover, exclusions, excess and incident reporting. Record emergency contacts. These provisions require approval by the parties and their legal advisers.
State invoice due dates, deposit handling, refunds and the authorized payment channel. Online Paymob payment is pending; this sample makes no escrow promise. Insert the agreed dispute process, governing law and jurisdiction after legal review.
Attach the final quote and handover schedule. Authorized names, signatures and dates: [lessor] / [renter]. This sample is unsigned and creates no booking, payment obligation or executed contract.
Attach supplier company details, signing authority, ownership or rental authorization, an equipment schedule, actual unit photographs and inspection/maintenance records. Define service areas, delivery responsibilities, availability confirmation, substitution, cancellation and breakdown handling.
Agree rates, any commission, invoicing, collection, settlement timing, deposits, liability, data protection and dispute resolution in writing. Equipment review does not mean automatic publication or legal verification of the company. A final approved agreement is required before accepting bookings.
